Purchasing Coordinator Duties/Responsibilities:
· Create purchase orders, reports, memoranda, and other documents.
· Compile all vendor information and costing data to prepare for purchase order releases.
· Review and level bids received from subcontractors.
· Review budgets and ensure scopes of work are coordinated between trades.
· Notify Purchasing management if pricing or budget is missing and needs to be contracted.
· This role will also provide routine administrative support to the Purchasing function including aiding in obtaining pricing from trade partners for new plans, changes, etc.
· Confirm accuracy and completeness of subcontract packages and draft commitments in Procore.
· Research and provide information on trade partner payment inquiries; interface with accounting as needed.
· Send new vendor setup documents and manage new trade onboarding.
· Follow up with Subcontractors on late or incomplete bids.
· Assist estimating with tracking costs, variances, comparisons, etc.
· Performs other duties as assigned.
Purchasing Coordinator Required Skills/Abilities:
· Ability to follow verbal and written instructions.
· Ability to learn purchasing procedures and policies.
· Proficient with Microsoft Office Suite, Procore, or related construction purchasing software.
Purchasing Coordinator Education and Experience:
· High school diploma or equivalent required.
· At least two years of clerical experience preferred.
· Organizes and articulates ideas clearly and concisely
· Creative problem-solver
· Construction administration experience preferred
· Strong interpersonal skills
· Capable of forward thinking to the benefit of the organization
· Ability to analyze information; identifying discrepancies and inconsistencies
· Able to utilize department specific technologies to solve business challenges
· Demonstrated ability to monitor progress and make changes as required
· Able to plan and prioritize while focusing on detail orientation and effective time management
· Collaborative and able to work with trade partners and employees across multiple departments
· 1-3 years of experience processing subcontractor agreements/purchase orders for construction companies or contractors
· Working knowledge of Microsoft Office programs, specifically Excel, and aptitude to learn new software programs
Physical Requirements:
· Prolonged periods of sitting at a desk and working on a computer.
· Must be able to lift up to 15 pounds at times.
