Recreation Program Coordinator Job at City of Covington
Under the supervision of the Parks and Recreation Manager, the Recreation Program Coordinator will oversee daily programmatic operations by scheduling and coordinating city-sponsored events and programs; in addition to overseeing the routine maintenance of park and recreation facilities. The Recreation Program Coordinator will recruit, hire and manage event and program staff, as well as the Recreation Co-Op (when applicable). This person will assist with special projects related to parks, greenspaces and recreational programming. Create policies and procedures to ensure events are meeting departmental goals, as well as ensure the financial sustainability of services. Develop and maintain records to track and analyze data. General office management is also a key skill for this position.
Essential Duties and Responsibilities
- Plan, administer and direct programs for public recreation, quality of life and leisure for all age groups and special populations including the design and development of new programs and services.
- Promote and expand volunteer-based efforts to increase departmental capacity. Serve as the department’s volunteer manager. Volunteer populations could include representatives from the neighborhood, corporate, non-profit, as well as governmental, school and special interest groups. This position will be responsible for recruiting, vetting, onboarding and supervising all volunteers.
- Analyze community recreation needs and assist supervisor in the preparation of long-range plans to meet those needs.
- Work independently and be responsible for overseeing activities at designated locations such as parks, school facilities, sports fields and other public facilities. Includes set up and take down at facilities and areas for special events, includes weekends, holidays and evenings.
- Publicize, promote and market information to the public regarding recreation programs and events, this may include contacting the media.
- Collect and maintain records and data to assist in program evaluation in an effort to make budgetary recommendations; prepare reports describing and evaluating programs at completion and identify methods and areas to improve.
- Maintain supplies, equipment and materials to support programs. Advise manager in advance of equipment and supply needs.
- Day-to-day monitoring of operations, including site visits as necessary.
- Enforce City policies, procedures and park rules for staff, instructors, volunteers and contractors, as well as enforcement of safety and operating procedures in compliance with health and safety and building codes.
- Review and approve Special Event Permits, investigate opportunities for expanding partnership.
- Follow the purchasing, administrative and other policies and practices of the department.
- Perform other related duties as required that may not be specifically listed in the job description, but that are within the general responsibility level typically associated with this class of work.
- Work hours will be irregular including evenings and weekends.
Examples of Duties
- Assist in organizing recreational program and related activities, including special events, special interest classes, park and playgrounds programs, summer day camps, adult sports and events and programs for all of the community.
- Coordination tasks could include but are not limited to ordering supplies, collecting registrations, preparing essential materials, hiring event staff and promotion
- Assist in the development of the department budget.
- Assist in the selection of seasonal/summer/program staff.
- Assist in meeting program goals and objectives.
- Coordinate support services on department sponsored special events and programs.
- May represent the department to outside groups and organizations, participate in outside community and professional groups and committees, form partnerships and provide technical assistance as necessary. Groups may include but are not limited to the Devou Park Advisory Council and subcommittees, Skyward’s Livewell initiative, Licking River Greenway and the Covington Recreation Improvement Foundation. This may include after hour commitments.
- Provide backup to clerical staff.
Knowledge, Skills and Abilities
- Ability to effectively and clearly communicate with staff, members of the public from all age groups, city departments and city commission; ability to develop and maintain effective working relationships with staff, members of the public and commission members
- Knowledge of office management, experience working with budgets, record and drafting and maintaining policies and procedures is essential for success in this position.
- Knowledge of sports, outdoor and other recreational activities preferred.
- Ability to coordinate, organize and to manage multiple tasks with conflicting deadlines.
- Ability to establish good working relationships with staff, other departments, residents, and program participants.
- Competency in using word-processing, spreadsheets, and graphics software.
- Experience with community engagement and natural resources/environmental education preferred.
Supervision Received
- Receives guidance from the Parks and Recreation Manager.
Supervisory Duties and Responsibilities
- May provide direction to temporary, program and seasonal employees within the Department.

Education and Experience
- Bachelor’s degree in recreation, park management, urban planning, public administration, business administration, or related field.
- 3+ years of relevant experience in office management, program coordination, community outreach, recreation or related field.
- A combination of education and experience will be considered.
Special Requirements
- Must possess and maintain a valid state driver’s license or have the ability to obtain on upon hire.
- Ability to work irregular hours which include evenings and weekends.
Tools and Equipment Used
- This position uses standard office equipment and basic computer software programs.
- Should have basic knowledge of tools and equipment used by the department.
POSITION TYPE/EXPECTED HOURS OF WORK: This is a full-time position. Days and hours of work are Monday through Friday, 8:00 am – 4:30 pm. Evening, weekend or hours adjustments may be required as job duties demand.
