Position Summary
Provides administrative support to business unit recruiting teams and back support to HR team when necessary
Essential Duties
  • Coordinating interviews and travel arrangements, including associated expense processing
  • Ensuring candidates, hiring managers and recruiters' needs are met during the interview process
  • Serve as a resource to the Talent Acquisition team as the point-of contact for newly hired employees; responsible for verifying licenses/certifications, running background checks, completing and ensuring a high level of service to the new hire experience.
  • Scheduling and coordination of onboarding appointment.
  • Provide status updates to the talent acquisition team to ensure candidates are processed timely and in accordance with scheduled start dates.
  • Assist with off-site recruiting events.
  • Serve as a back-up for other team members and/or offset support of other programs such as Internal Applications, Referral tracking, etc.
  • Maintain accurate tracking of employee referral bonuses, sign on bonuses, and promissory notes.
  • Contribute to recruiting team projects through collaborative brainstorming, coordinating administrative components to encourage progress and momentum toward achieving milestones and deadlines.
  • Generate reports on a reoccurring or ad hoc basis.
  • Conduct research for various projects as requested.
  • Efficiently and effectively utilize workday as an ATS and HRIS.
  • Support and contribute to Central Maine Healthcare’s commitment to diversity and inclusion.
  • Other duties as requested, directed or assigned.
Education and Experience:
  • High school diploma or equivalent
  • 2+ year customer service or recruiting support experience
  • Experience with Microsoft Office Suite (including Outlook, Word, Excel, and PowerPoint)
Knowledge, Skills and Abilities:
  • Strong interpersonal skills with the ability to quickly establish credibility and respect with a broad range of business partners
  • High level of business acumen
  • Strong written and verbal communication skills required; ability to communicate courteously, articulately and professionally in person, over the phone and in writin
  • A strong inclination towards technology and a desire to use technology to streamline processes
  • Excellent time management skills, customer service and organizational skills, and attention to detail
  • Ability to take direction and execute a plan.
  • Demonstrated ability to handle multiple tasks and support multiple team members
  • Ability to convey CMHCs values to others in the form of expected integrity and performance
  • Ability to organize and manage workflow to meet deadlines and requirements.
  • Self-motivated with strong time management, and organization skills Able to operate independently but know when to raise concerns/decisions to HR Leadership
  • A team player with a high sense of urgency and ability to adapt to a quickly and innovatively to a changing environment

Typical Working Conditions and Physical Requirements:
  • Office environment, with some travel between sites on a periodic basis.
  • Periodic walking for short to moderate distances.
  • Ability to lift up to 25 pounds.
