SUMMARY:
- Perform all duties associated with the taking and processing of guest room reservations ensuring a high level of performance, guest satisfaction, and profitability.
- Consistently perform in the Pine Needles & Mid Pines Standards of Service, interact with guests, clients, and all Resort associates in a professional, gracious and friendly manner.
- Employ operational and selling techniques to maximize occupancy levels and achieve the highest average rate possible. Maintain information on and promote Resort facilities to guests and callers.
- Operate Resort telephones, answer reservation phone lines using a clear and pleasant tone of voice and the correct verbiage. Listen to callers and respond to caller requests.
- Provide accurate information regarding availability, guest room types, and accommodations, room rates, transportation to and from Resorts, etc. Promote special marketing programs.
- Record and file all pertinent reservation information from guest (name, address, dates of arrival and departure, credit card number, e-mail address, etc.), input reservation information into the system, and relay confirmation to the guest.
- Operate reservations computer system. Accurately input and retrieve data, utilize and understand reservation codes, read, analyze, and provide information from data contained in the system. Initiate and retrieve printed reports from the computer printer.
- Provide information on and answer questions regarding, Resort facilities and services, local attractions/events, directions, and quote Resort policy regarding reservation guarantee and advance deposit policies.
- Adhere to all policies related to reservations operations to include the proper handling of room blocks and closed-out periods, rate quotation, etc.
- Understand and be able to quote the correct rates associated with the caller’s affiliation, for example, corporate rate, group rate, etc.
- Perform and comply with all accounting procedures for balancing deposits.
- Consistently adhere to uniform, grooming, and appearance standards.
- Maintain effective communication within the reservations department and all Resort departments. Stay aware of issues relating to reservations and general Resort operations. Attend meetings as scheduled. Be responsive to instructions and suggestions and work to resolve problems.
- Work closely with the Sales department regarding VIP and special requests, group room blocks, pick-ups and cut-off dates, sold-out dates, yield management, and more. Work closely with the front office on issues such as closed-out dates, special guest requests, etc.
- Adhere to safety, security, and emergency procedures, react appropriately during emergency situations and act promptly to correct hazards. Follow security procedures on the handling of guest room keys and the protection of guest-related confidential information.
SECONDARY DUTIES:
- Responsible for basic knowledge of the History of Pine Needles and Mid Pines Resorts as well as knowledge of the Resorts' buildings, rooms, golf instruction programs, upcoming events, and golf courses.
- Maintain good working relationships with the Sales Team and associates in other departments through effective communications.
PHYSICAL REQUIREMENTS:
- Must be able to climb stairs, lift and transport boxes, business machines, paper supplies, etc., operate a personal computer, copier, fax machine, etc., and keep personal appearance to professional standards.
