The Scheduling Coordinator/Adm. Asst. reports to the Director of Nursing and assists nursing staff members with and contributes to the implementation of resident quality care. She/he is responsible for maintaining and reconciling supplies to all nursing units. In addition, she/he assumes the responsibility for sustaining an adequate inventory of nursing forms needed on a day-to-day basis. Under the direction of the Director of Nursing, will mail out reference forms on all new employees.

RESPONSIBILITIES:

  • Monitors phones and logs sick calls.
  • Distributes sick and/or call-out list to Director of Nursing, Administrator, and Facility HR Manager.
  • Under the direction of the Facility HR Manager, will work on to confirm hours work on time card on a daily basis.
  • Informs the DON and Facility HR/PR Manager of problem areas such as failure to punch time card, excessive tardiness, etc.
  • Checks daily time sheets to maintain proper staffing levels.
  • Prepares attendance reports on nursing employees who are not in compliance with attendance guidelines.
  • Monitors vacation requests and plans into schedules.
  • Prepares a weekly breakdown of hours for the Administrator.
  • Works with staff to cover sick calls, vacation slots and other openings.
  • Prepares and posts monthly schedules for CNAs and Licensed staff.
  • Works with payroll to ensure accurate distribution to different units and categories of nursing hours.
  • Ensures compliance with policy manual with regards to call-outs and attendance.
  • To maintain a chronological log of requests for transfers i.e. floor or shift.
  • To assist as necessary in license renewal in conjunction with the SDC.
  • Participates in preparing paperwork for interviews by the Director of Nursing.
  • Participates in tours for prospective employees for the Nursing department.
  • Ensures sufficient paperwork and forms are available for special projects.
  • Secretarial duties encountered in daily work load or those necessary for the Director of Nursing.
  • Files paperwork for the Nursing Department in a timely manner.
  • Other duties as assigned by the Director of Nursing and Administrator.
  • Communicates daily with Facility HR/Payroll Manager to update on potential new hires status changes, and terminations.
  • To be courteous and respectful of immediate supervisors, fellow employees, residents and family/visitors.
  • To conduct one’s self in a manner that contributes to positive public relations for the facility.
  • To perform duties in a way that ensures employee’s own safety and that of other employees, residents and family/visitors.
  • To establish and maintain positive interpersonal relationships that promote a willingness to work with others cooperatively and collaboratively.
  • To respect the confidentiality of information learned through one’s employment in the facility.
  • To observe and practice Infection Control and Universal Precautions in accordance with OSHA and OBRA Regulations.
  • Ensures all residents rights/dignity.
  • To punctually start your workday and not abuse sick time, break time and overtime.
  • Must be an employee in good standing with regards to facility Absenteeism Policy.
  • Failure to comply with Absenteeism Policy could lead to suspension and/or termination.
  • Works hours as assigned by DNS or his/her designee to ensure sufficient staffing for proper resident care/safety. This may include mandatory overtime hours.
  • To perform one’s job duties in compliance with policies and procedures of the facility.
  • To comply with the dress code, appearing neatly dressed, well-groomed, etc.
  • To manage assigned space in an appropriate, professional manner.

REQUIREMENTS:

  • High School graduate or equivalent.

Long Term Care experience preferred.
