Title: Snowsports Sales Coordinator & Guest and Information Services Supervisor
Department: Guest Information & Services
Level: Full Time Year-Round, non-exempt (hourly)
Job Summary: Responsible for annual updating of existing Snowsports (SS) products in RTP; creating or making changes to SS products as instructed by management ensuring categories, accounting, reporting and discounts are correct. Oversee the scheduling, sales and collection of required paperwork of School Groups, SS Programs and Competitive Teams. Maintain up-to-date information regarding SS, WMR activities and products. Assist in all facets of daily operations within Guest Information and Services (GIS) including sales of all products available. Comply with cash and control procedures, process cashier checkouts and location closes. Ensure guest satisfaction.

Job Skill Specifications:
- College Education preferred.
- Administrative and sales experience preferred.
- SS experience preferred, but not required
- Must be an advocate of exceptional customer service.
- Must have advanced computer skills to develop a strong working knowledge of all modules of the RTP system.
- Strong computer skills in MS Word, Excel, Email and database management.
- Skill in operating basic office equipment including 10-key calculator, copy machine, printers, two-way radios and multi-line telephone systems.
- Must be a self-starter and able to work independently with little supervision.
- Must possess good organizational skills; able to prioritize tasks and work with details.
- Must be able to communicate fluently in English (written and oral) with customers and co-workers over the telephone and in person.
- Must possess the ability to function effectively during times of high stress and high business demands, while dealing courteously and effectively with customers and staff.
- Must have a good understanding of general accounting procedures.
Specific Duties:
- Must become completely familiar with all types of SS products, seasons passes, lift tickets, events, and activities.
- Must become completely familiar with SS accounts to ensure proper reporting and flow of revenue through product set up and use of deferral calendars.
- Oversee the scheduling and sales of School Groups, SS Programs and Competitive Teams.
- Prepare and produce various printed materials including SS Programs and School Groups letters, as well as assist in the development and editing of other printed materials with the knowledge and approval of SS Management and GIS Manager.
- Must be able to work in conjunction with SS Management to examine existing procedures in regards to SS and customer service. Being willing to work with those involved to develop and implement systems/programs that promote efficiency, customer service, and enhance workplace and guest satisfaction.
- Responsible for annual updating of existing SS products in RTP; including pricing, expiration dates and other characteristics as needed.
- Making changes to set up and/or structure of RTP products, categories, accounting, reporting, etc. are the responsibility of this position, although should only be made with the prior knowledge and approval of SS Management and/or GIS Manager.
- Regular and direct contact with the SS Director and Managers for current sales tracking, on-snow procedures, and instructor proficiencies.
- Constant communication with GIS Manager and Assistant Manager to ensure things are consistent with expectations set forth in regard to procedures, processes, policies.
- Must have knowledge of instructor profile software, and be continually up-to-date with instructor’s profiles.
- Responsible for the training staff on SS sales including other departments as requested by management. Emphasizing customer service and satisfaction in all aspects of operation and provide ongoing training opportunities to maintain high standards.
- Provide exceptional guest service, including the resolution of guest issues.
- Must have a thorough understanding of information concerning all aspects of Whitefish Mountain Resort so as to function as an information source for all guests.
- Assist, as needed, with daily functions of all areas within the department, to include, but not limited to ticket and pass sales, call center operations, and other projects.
- Reconcile daily sales, cash and receipts and make corrections as needed in end of day deposits.
- Support POS users, giving constructive feedback.
- Comply with cash and control procedures; assist with cashier checkouts and location closes as needed.
- Must be completely familiar with and adhere to all company policies.
- Job may require working weekends, holidays and overtime during peak demand times.
Work Environment:
- Moderate physical activity required by handling objects up to 10 to 20 pounds frequently and up to 50 pounds occasionally.
- Ability to be seated at a desk and computer work station for extended periods of 4 to 6 hours daily.
- Ability to be on one’s feet for extended time periods up to 6 hours daily.
- Job may require working weekends, holidays and overtime during peak demand times.
- Ability to accept schedule changes on short notice and be flexible as customer demands dictate.
