Job Title: Student Services Department Specialist
Salary Range: $18.56 - $22.44
Reports to: Director of Student Services
Please note that this position is 260 days (12 months) with 10 paid holidays, paid sick leave and paid flexible personal leave (3 days per year). The McMinnville School District provides generous personal and family benefits including medical, dental and vision coverage
Job Summary: Support Student Services Program goals and objectives.
Essential Job Functions:
- Knowledge of the special education process is preferred.
- Inputs, files and maintains information on students, student referrals, and student placement.
- Organize the preparation of program workshops and meetings; including agendas, meeting notes, program calendar, and staff credit.
- Inputs and maintains program specific information such as special education records, 504 programs, and tracking of tutor hours for district, state and federal reporting.
- Coordinates the distribution and collection of information using the district intranet, newsletter or other communication means.
- Organizes and distributes resources in the department library for staff.
- Tracks data and submits Oregon Department of Education Special Education Data Collections
- Oversees Powerschool and communicates
- Creates monthly reports on program tracking.
- Maintains office records and independently answers routine questions and correspondence not requiring the supervisor's attention.
- Assists others with various problems and questions concerning records, scheduling and computers.
- Answers phone for student services department. Types correspondence to staff, parents, and agencies as directed by the Department Director, Program Consultant, District Psychologist or Administrative Assistant.
- Obtains, gathers and organizes pertinent data as needed and puts it into usable form.
- Handles a wide variety of secretarial and clerical work including typing, filing, proofreading, requisition processing and duplication of materials.
- Responsible for being familiar with the school/district policies and procedures which govern the work.
- Prompt and regular attendance is required.
Other Job Functions:
- Performs other tasks as assigned.
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
- Participates in various meetings and professional development activities for the purpose of sharing information and/or improving one's skills/knowledge.

- Ability to work with a diverse population.
- Ability to respect confidential information.
- Computer skills to include use of word processing programs, database programs and the Google Suite of products.
Physical Demands:

While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to walk; sit; and use hands for fine manipulation, handle or feel and reach with hands and arms. The employee is occasionally required to stand and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision and peripheral vision.
Work Environment:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is occasionally exposed to outside weather conditions. The employee may be exposed to bloodborne pathogens. The noise level in the work environment varies but is usually moderate.
Terms of Employment: Performance of this position will be evaluated annually in accordance with Board policy on evaluation of classified staff.
