Job Summary
We are expanding our team and looking to add a full-time Veterinary Receptionist to our staff five days a week from 8 am to 5 pm Monday through Friday. On busy days with emergencies, it is not unusual to arrive back at the office after 5 pm.
The ideal candidate will deliver a professional and qualified first impression to all visitors. This person has excellent communication and customer service skills. They will have a basic understanding of administrative and clerical procedures/systems and the ability to multitask in a busy environment.
Responsibilities and Duties
This job description serves to list expectations and duties for our Veterinary Receptionist. While we have attempted to make it as comprehensive as possible, due to the dynamic nature of our service and the position, you may be asked to perform additional duties that would not typically fall within the guidelines of a Veterinary Receptionist or office person.
Receptionist Duties:
- Arrive on time and be prepared for the day ahead.
- Keep informed of traffic situations that may impact travel.
- Be courteous to staff at each clinic and maintain good relations.
- Receive and place calls to clients for the purpose of scheduling
- Obtain patient and client information necessary for the procedure and enter pertinent information into record-keeping software upon arrival.
- Knowledge of veterinary medical terminology and procedures
- Field calls from owners and clinics inquiring about our services and pricing.
- Follow up with pet owners after the procedure (2-3 days post-op) and log the call.
- Enter and deliver invoices via email.
- Verify upcoming procedures/appointments.
- Keep track of questions or issues that our client clinics are experiencing. Let your manager know so that these may be addressed timely.
- Ensure that each clinic has MVS marketing materials. Urge clinics to refer their clients to TPLOaustin.com.
- Send out and receive mail, documents, supplies, and packages.
Qualifications and Skills
- 2 + Years of Receptionist Experience - Required
- Excellent Written and Verbal Communication Skills - Required
- Excellent Computer Skills - Required
- Experience with EzyVet Software - Preferred
