Position Summary:
The Business Administrative Associate reports to the Director of Administrative Operations (DAO) and will assist with the financial and administrative operations of the Department of Anatomy and Cell Biology.
Duties & Responsibilities:
- Provide assistance with the fiscal management of the department. Prepare financial reports and reconcile expenditures for all fund types within the department, taking action to correct any discrepancies. Design and execute ad hoc financial reports as requested by the DAO and Department Head.
- Oversee travel and miscellaneous reimbursements for all employees. This includes submission of all transactions in the Chrome River system ensuring compliance with university policies and procedures.
- Management of the departmental seminar program including speaker selection, logistics/accommodation management, internal communications, marketing and budgeting.
- Coordinate day-to-day operational needs of the departmental office.
- Acts as the liaison with University Payables (UPAY) and Purchasing to resolve vendor payment issues and open encumbrances.
- Responsible for coordinating facilities management repairs; submit billable and non-billable requests via FMWeb.
- Serve as the Unit Property Accounting contact and the department liaison with University Property Accounting and Reporting (UPAR). The duties include processing new acquisitions, asset updates and disposals in FABweb, affixing property labels and managing the biennial inventory.
- Perform other related duties and participate in special projects as assigned.
Qualifications:
- Bachelor's degree in business administration, management, or a field related to the position.
- Two (2) years of professional business, financial, and/or managerial work experience.
(NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
Preferred Qualifications:
- Strong quantitative, analytical and technical skills; proficiency in Microsoft Office.
