Logistics Coordinator - Domestic Job at Grower Direct Nut Company
JOB SUMMARY
The Logistics Coordinator – Domestic reports to the Logistics Manager and Sales Manager. The Logistics Coordinator is responsible for assuring and coordinating a smooth flow of shipments from Grower Direct Nut facilities to customers. Responsible for coordination of transportation to customers, for local treatment, cold storage and warehousing; taking into consideration production date, customer requested date, requirements and issues that may arise.
ESSENTIAL FUNCTIONS
· Act as the liaison between the customer and Grower Direct Nut Co.
· Review orders for accuracy, all necessary information is being relayed to the production and QC teams.
· Coordinate shipments according to ready date and requested shipment dates.
· Communicate with customers and brokers in all aspects pertaining to an order throughout the process (status updates, delays, short shipments etc.)
· Obtain the best value for shipments, finding discounts and/or competitive pricing on trucking quotes.
· Schedule appointments for shipments directly with Trucking Lines or customers.
· Receive and process all shipping/trucking instructions into the Systematic Agricultural Manufacturing (SAM) software.
· Transfer shipping requirements to the Grower Direct Application.
· Correspond with the Grower Direct sales team.
· Coordinate any special third-party requirements such as pasteurization, pick-ups, etc.
· Assure shipment has cleared necessary processes for shipment: COA, treatments etc.
· Prepare all necessary shipment documentation on time such as: shipment release, pallet tags, special BL instructions, etc.
· Invoice shipments according to order, notes and extra fees, providing required documentation for proper invoicing to AP
· Prepare necessary documents for shipments to exchange ownership including but not limited to; invoice, packing list, certificate of origin.
· Send / Email finished documentation packets to customers, brokers, and banks in a timely manner. (All domestic documentation must have a 24-hour turnaround time).
· Maintain customer files.
· Maintain credits and contract adjustments.
· File claims with trucking companies and follow through
· Collect certificate of insurance from all domestic trucks that enter Grower Direct Nut Companies facilities.
· Account reconciliation SAM/GDA.
· Coordinate outgoing shipments napasol, roasting, colds storage etc.
· Work with receiving team to coordinate cold storage needs.
· Maintain offsite inventory for product storage (i.e. Ready Roast, Pacific Grain and Foods, Americold, Turlock Cold Storage)
· Act as back up to schedule and prepare Phyto’s for inspection and fumigation as needed.
· Assist in Export with shipments, bookings, documentation, shipment notifications, and approval of Bill of Lading as needed.
· Assist Customer Service with contracts and entering orders into the SAM and GDA systems as needed.
· Follows and ensures adherence to established Grower Direct Nut Co., local, state, and federal regulations and requirements as well as food safety, sanitation, food production and nutritional guidelines.
· Established and ensures adherence to procedures and standards, which are in agreement with these regulations, requirements and guidelines.
OTHER RESPONSIBILITIES
Responsibilities are not limited to the above mentioned and may include assisting other departments within reasonable and related tasks.
PHYSICAL DEMANDS
Physical demands
o Will occasionally stand, walk, use hands to finger, handle and feel, reach with hands and arms, talk and hear, taste and smell.
o Will frequently sit and occasionally climb or balance and stoop, kneel crouch or crawl.
o Must use both hands for rapid mental muscular coordination, simultaneously.
o Must be able to reach high and low levels, frequently.
o Must be able to push/pull/lift with arms below waist/at shoulder/above shoulder level up to 30 pounds frequently.
o Must lift with arms up to floor to waist, waist to shoulder 30 pounds.
o Must be able to constantly stand/stoop/walk/bend, up to 12 hrs.
o Ability to strenuous flex/grip with wrist/hands frequently (15 flexion/minute).
o Use of keyboard and mouse for extended period.
Work environment
o May work near moving mechanical parts.
o May work around wet or humid conditions, in high, precarious places, fumes or airborne particles, outdoor weather conditions, extreme cold (non-weather), extreme heat (non-weather), risk of electrical shock, and/or risk of vibration.
QUALIFICATIONS/SKILLS
1. High School Diploma required, some college preferred.
2. Excellent written, verbal, time management and attention to detail.
3. Must be willing to work flexible schedule.
4. Computer proficiency in Microsoft Word, Excel, Outlook
5. Ability to maintain confidential information.
6. 3-5 years’ logistics experience.
7. Excellent interpersonal skills and problem solving ability.
8. Analytical skills to find variances in reports.
9. Works well in a team environment.
10. English/Spanish written and verbal bilingual skills are desirable.
Job Type: Full-time
Pay: $19.00 - $21.00 per hour
