Office Manager/Bookkeeper Job Description:

Jacques M. Levy & Co. is seeking a highly organized and detail-oriented individual to join our team as an Office Manager/Bookkeeper. In this critical role, you will be responsible for ensuring the smooth operation of our office and maintaining accurate financial records for our firm. You will play a vital part in managing administrative tasks, coordinating office operations, and performing bookkeeping duties. Additionally, you will be the friendly face of the office, creating a warm and welcoming environment for our staff and clients. We are looking for a candidate with exceptional interpersonal skills, strong organizational abilities, and a genuine passion for providing outstanding customer service.

Responsibilities:

1. Oversee daily office operations and ensure efficient functioning of administrative processes

  • Manage and coordinate office activities, including managing schedules, arranging meetings, and maintaining office supplies.
  • Ensure that office facilities are well-maintained.
  • Streamline administrative processes to improve efficiency and productivity.

2. Coordinate with external vendors, and clients as necessary

  • Communicate with vendors to ensure timely delivery of goods and services.
  • Maintain positive relationships with clients, addressing their inquiries and providing assistance when needed.

3. Manage office supplies and inventory, and make purchases as necessary

  • Monitor office supplies inventory and order replenishments as required.
  • Maintain accurate records of inventory and ensure cost-effective purchasing practices.

4. Handle incoming calls, emails, and other correspondence, redirecting or responding as required

  • Serve as the first point of contact for incoming calls and emails, providing professional and helpful assistance.
  • Redirect calls and messages to the appropriate individuals or departments.

5. Support the team with various administrative tasks as needed

  • Provide general administrative support, including typing, filing, and data entry.
  • Assist with preparing and proofreading documents and reports..

Qualifications:

  • Proven experience as an office manager or bookkeeper, preferably in an accounting or finance environment
  • Proficient in using accounting software and bookkeeping tools (e.g., QuickBooks, Excel)
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively
  • Strong communication and interpersonal skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • A proactive and self-motivated approach to work
