POSITION SUMMARY
Nancy J Kelley + Associates (NJK+A) is hiring a well-organized Operations Coordinator for a hybrid position that will provide support for the President of NJK+A and clients of the firm. This is a great opportunity to establish working relationships with high-level executives and contribute to the overall efficiency of our organization.
The Operations Coordinator supports all the President’s scheduling, email/phone follow-ups, and other coordination and executive support in other areas as needed. In addition, the Operations Coordinator will support our client’s project teams with scheduling, email/phone follow-ups and other coordination as needed. This is a highly visible and unique opportunity to work at the ground floor of life sciences and innovation in New York City and beyond, helping to shape NJK+A, the life science industry, and the NYC region.
PROFESSIONAL RESPONSIBILITES
- Serve as the right hand to NJK+A President & CEO Nancy J Kelley, managing scheduling, communications, and other executive support
- Manage calendar for President of NJK+A
- Provide Agenda for Team Meetings
- Provide ad hoc support for office management, including facilities and IT management, supplies, and expense reimbursements
- Assist with client invoicing
- Facilitating communications among all team members and contractors in company
- Set up proposals for new prospect leads
- Create outlines and presentations
- Create and maintain user and system documentation, including guides, templates, process flows
PROFESSIONAL QUALIFICATIONS
- You are self-motivated, willing to roll your sleeves up to work collaboratively and effectively in a cross-functional team environment.
- The ability to see the big picture while taking care of the details is a critical qualification
- Time management and ability to meet deadlines

REQUIREMENTS:
- 3-5 years of consistent professional work experience
- Bachelor’s degree
- Proficient computer skills which would include MS-Office applications, Dropbox, related Social Media tools such as Hootsuite and Canva, Project Management Tools like ClickUp and CRM system: Affinity and Zoom Info, Event and Email Campaign Systems such as Eventbrite and Mailchimp.
- Position reports to President of NJK+A
- Well-developed verbal and written communication skills

- Bachelor’s degree
COMPENSATION:
- Contract

- 35 Hours / $35 - $40 per hour based on experience

ABOUT NANCY J KELLEY
Nancy J Kelley, JD, MPP (https://nancyjkelley.com/nancy/), President & CEO of Nancy J Kelley + Associates, is a nationally recognized executive who has driven key strategic initiatives in science and medicine for over 20 years. She has a deep understanding of the healthcare, life science, and research fields and has in-depth knowledge of the related legal, business, government, non-profit and academic sectors in NYC and across the country.
Ms. Kelley's prior leadership history includes work in scientific institutions, life science companies and life science real estate development. She is a Founding Member of NYC Builds BIO+. She was a member of the Founding Leadership team of the international scientific project GP-write and the associated Center of Excellence for Engineering Biology, and helped to launch the Biodesign Challenge. Ms. Kelley was the Founding Executive Director of the New York Genome Center and a lead executive in the development of the East River Science Park (now, Alexandria Life Science Center) in Manhattan. She has overseen major development projects for clients such as Harvard's McLean Hospital, NIH, Johns Hopkins, and MIT.
Ms. Kelley also acquired years of experience in growing life science companies from start-up through development into established enterprises as a former corporate securities partner at the Boston law firm of Hale and Dorr (now Wilmer Hale).
Ms Kelley has served on Boards for the New York Genome Center, The Jackson
Laboratory, Beth Israel Deaconess Medical Center, and the Whitehead Institute.
She holds an AS from Manchester Community College, a BA from Yale College, a JD from Harvard Law School and an MPP from Harvard Kennedy School. She has been appointed both a White House Fellow and Truman Scholar.
Job Type: Contract
Pay: $35.00 - $40.00 per hour
Schedule:
- 8 hour shift
- Monday to Friday
