ESSENTIAL JOB FUNCTIONS:

  • Provides a wide variety of clerical and secretarial duties in support to various departments.
  • Operates various types of office equipment to include: typewriters, fax machine, copy machine, calculator, scanner and computers using Microsoft Word, Microsoft Excel, Microsoft Publisher and Power Point.
  • Greets public as they come into office. Answer questions and provide information to the public or assist them with finding the appropriate person to assist them. Assist citizens and clients with complaints and/or refer to appropriate department staff member for resolution.
  • Maintains office calendar. Schedule appointments, events, and/or meeting advise all participants.
  • Assists with the scheduling conferences; including arrangement for travel and hotel accommodations as needed.
  • Drafts letters, emails and/or memos as requested.
  • Forwards all correspondence to appropriate staff requires action and/or approval.
  • Assists with the review and redaction of public records as needed.
  • Maintains the filing system; including the retention of records; do not dispose of any records unless approved by assigned designee.
  • Scans old records as well as new records for electronic record keeping.
  • Maintains the front board noticing of upcoming meetings and events. Schedule invocations for commission meetings.
  • Researches price, and purchase office supplies for office. Complete purchase orders for all purchases and present to the Finance Department timely.
  • Performs other assigned duties.

MINIMUM REQUIREMENTS TO PERFORM WORK:

  • High School Diploma or equivalent.
  • Two (2) to four (4) years of related administrative/records management experience.
