Title: Patient Care Coordinator
FLSA Status: Full Time / Non-Exempt
Reports to: Practice Manager
Pay Type: Hourly
Pay Range: $15.00 - $17.00, depending on education and experience

Job Description:
The Patient Care Coordinator responsible for greeting patients, collecting forms, verifying insurance, activating patient files, and moving patients through a predetermined protocol when they check in to be seen at the Urgent Care or Family Medicine Clinic.
Essential Job Duties and Responsibilities:
Greeting Patients / Obtaining Information
- Greet incoming patients in a friendly and professional manner.
- Instruct patients to complete paperwork as defined in the Front Office Manual.
- Obtain complete and accurate information from the patient for billing and demographics purposes.
Phone Duties
- Answer all incoming calls in a friendly and professional manner.
- Answer all incoming calls before the third ring.
- Communicate accurate information in a friendly and professional manner.
- Route calls to the intended recipient timely and accurately.
Administrative Duties
- Ensure that the patient’s visit is smooth, billing can be processed timely and accurately, and front office remains clutter free and organized.
- Collect co-pays at the time of the visit and in accordance with patient insurance guidelines.
- Ensure medical notes to the patient’s primary care physician are faxed timely.
- Ensure the front desk and lobby are clean and maintained in a professional manner.
- Communicate with patients to explain insurance deductibles, co-pays, and co-insurance.
- Prepare cash deposits.
- Maintain patient confidentiality in accordance to policy, procedure and HIPAA requirements.
- Coordinate when necessary and attend meetings as requested.
- Other duties as assigned/identified.
Company Specific Software
Learn and apply company specific computer programs and software utilized for business purposes, including, but not limited to:
- MS Excel Spreadsheets, MS Word Documents and MS Windows OS.
- Electronic Medical Record System.
- ENS, utilized for insurance verification.
- CHCPF, utilized for Medicaid insurance eligibility verification.
- Credit Card Processing.
Education and Experience:
- High School diploma or equivalent, required.
- One (1) year medical office or healthcare facility experience preferred.
- Good computer skills including proficiency in Microsoft Office applications, email, basic internet usage; including word processing, spreadsheet, database, and business correspondence.
- Proficient knowledge and understanding of HIPAA guidelines and applicable State/Federal regulations pertaining to the healthcare industry.
- Ability to use good judgment in dealing with proprietary and confidential matters.
- Excellent organizational and time-management skills. Must be detail oriented.

- Requires occasional travel, including overnight travel and weekend and/or evening work.
- Presentation of technical material in group settings required occasionally.
- Mid to high-level stress.
- Requires sitting for long periods of time (occasionally).
- Requires frequent walking primarily on a level surface throughout the workday.
- Requires reaching continually throughout the workday (mouse, keyboard, telephone).
- May be required to lift, push, pull and/or carry up to 50 pounds for files/equipment on a regular basis. Proper lifting techniques required.
