Primary Health Medical Group is seeking candidates for the position of Administrative Office Coordinator. As the first point of contact for customers at all levels, the Administrative Office Coordinator must be friendly, have exceptional communication skills, and a professional appearance. The Administrative Office Coordinator will work with the company's directors and other executives where high degrees of professionalism, attention to detail and confidentiality are expected.

Status: Full Time, 40 hours
Location: Administrative Office- 10482 West Carlton Bay Drive Garden City, ID 83714
Schedule: Monday- Friday 8 am- 5 pm

Responsibilities:
  • Front desk reception- greeting visitors, accepting deliveries
  • Answers main phone line, fielding questions, redirecting callers (directing to Admin staff, clinic locations, or Billing office as appropriate)
  • Sorts mail, delivery notification/distribution
  • Mailroom organization, mail supply ordering (stamps, envelopes, etc.), coordination for FedEx/UPS pick-up
  • Notifications to post office regarding Admin and clinic opening/closure/hours and changes
  • Admin office supply organization, inventory, ordering
  • Break room organization, inventory, supply ordering
  • Contact for coffee vendor
  • Conference room organization, cleaning, supplies
  • Main contact for conference room scheduling issues/conflicts
  • Supply room organization
  • Clinic central supply administration (assisting nursing with organization/inventory of clinic supplies held at Admin, coordinating delivery to clinics with Courier)
  • Assists IT and supervisors with new workstation supplies/set-up
  • Sends notices to Admin staff regarding misc. happenings (holiday closures/hours/changes/carpet cleaning/window cleaning, etc.)
  • Printer/copier administration (power supply, toner changes, help with jams, changing scanner directory information)
  • Laminating projects as requested
  • Contact for shred bin emptying and other issues
  • Food trucks and assisting HR with Admin holiday celebrations
  • Provides executive support:
  • Schedules meetings with outside persons, providers or larger internal group meetings
  • Meeting minutes as requested
  • New clinic set up items
  • Maintains contracts
  • Administrative/clerical projects as requested by Admin Leaders or Managers
  • Manages Admin petty cash
  • Coordinates Admin office cleaning/facility issues at the direction of the CFO
  • Monitors for general Admin office facility professionalism/appearance/cleanliness
Requirements:
  • Exceptional verbal and written communication skills, including grammar and spelling
  • Strong skills in Microsoft Office (Word, Excel, PowerPoint) and ability to quickly learn new software programs
  • High level of professional appearance and demeanor
  • Ability to pleasantly interact with people (internal and external customers at all levels)
  • Must have a friendly and outgoing affect in order to greet people in a warm and welcoming manner
  • High level of discretion and judgment
  • Ability to work independently
  • Ability to maintain confidentiality
  • Ability to make sound decisions within scope of responsibility
  • Strong organization and time management skills
  • Must be able to switch tasks frequently and smoothly
